1. About this policy

JJ Splice Films Pty Ltd (ABN 85 158 464 503) ("JJ Splice", "we", "us", "our") is committed to protecting the privacy of individuals we deal with, including prospective, current and former students, workshop and masterclass attendees, production clients, website visitors, and job applicants.

This policy explains how we collect, hold, use and disclose personal information, in accordance with the Privacy Act 1988 (Cth) and the 13 Australian Privacy Principles (APPs). It applies to our Screen Academy training programs, standalone production services, and our website at jjsplice.com.au.

2. What personal information we collect

Depending on how you interact with us, we may collect:

  • Identity and contact details: full name, date of birth, email address, phone number, and postal address.
  • Enrolment and payment details: program selection, enrolment agreement records, billing address, and payment method details (processed by our payment provider — we do not store full card numbers ourselves).
  • Photos, video and audio: recordings and photography taken during classes, workshops, showreel productions, and masterclasses.
  • Communications: messages you send us through our contact form, email, phone, or messaging platforms such as WhatsApp.
  • Website usage data: pages visited and general technical information collected automatically when you browse our website (see Section 10).
  • Emergency and health-related information, where relevant: for example, information you voluntarily provide about a health condition or access requirement so we can accommodate you safely in the studio. We only collect this where you choose to provide it.

3. How we collect it

We collect personal information directly from you — when you enquire, enrol, sign an agreement, attend a class, fill in a form on our website, or contact us. Where practical, we collect information directly from you rather than from a third party. We do not knowingly collect personal information about you from a source other than you without telling you.

4. How we use your information

We use personal information to:

  • Process enrolments, manage direct debit and payment arrangements, and administer your place in a program;
  • Deliver training, run classes and workshops, and produce showreel and production content;
  • Communicate with you about your enrolment, classes, schedule changes, and account matters;
  • Respond to enquiries submitted through our contact form or other channels;
  • Send you marketing communications and updates, where you have signed up to receive them (see Section 9);
  • Meet our legal, accounting, and regulatory obligations; and
  • Improve our programs, studio operations, and website.

5. Photos, video and marketing use of your image

Training sessions, workshops, and productions at JJ Splice are regularly photographed and filmed. If you enrol in a Screen Academy program, the Enrolment Agreement and our Terms & Conditions of Service set out the specific consent you give for your image, likeness, and voice to be used for marketing, advertising, portfolio, and promotional purposes, and how you can request a limitation on that use in writing.

If you attend the studio as a guest, visitor, or standalone masterclass attendee without signing an Enrolment Agreement, we will seek your separate consent before using any photo or video that identifies you for marketing purposes.

You may withdraw or limit your consent to future marketing use of your image at any time by contacting us using the details in Section 15. This does not affect material already published before your request, or footage we are contractually or legally required to retain.

6. Disclosure to third parties

We do not sell personal information. We may disclose personal information to:

  • Service providers who help us operate — for example, payment processors, direct debit providers, email and SMS platforms, cloud storage and video hosting providers, and website hosting providers;
  • Professional advisers, including our accountant and lawyers, where necessary;
  • Government or regulatory bodies where required by law; and
  • A prospective buyer or successor of the business, in the event of a sale, merger, or restructure of JJ Splice Films Pty Ltd, subject to appropriate confidentiality protections.

We require third-party service providers who handle personal information on our behalf to protect it consistently with this policy.

7. Storage and security

We store personal information using a combination of secure cloud-based systems and, where applicable, physical records at our studio. We take reasonable technical and organisational steps to protect personal information from misuse, interference, loss, and unauthorised access, modification, or disclosure — including access controls, secure payment processing, and limiting staff access to what is needed for their role.

We retain personal information only for as long as reasonably necessary for the purposes described in this policy, or as required by law (for example, financial records under Australian tax law), after which we take reasonable steps to destroy or de-identify it.

8. Overseas disclosure

Some of the third-party service providers we use (for example, cloud storage, video hosting, email marketing, or payment processing platforms) may store or process personal information on servers located outside Australia. Where this occurs, we take reasonable steps to ensure these providers handle personal information in a manner consistent with the Australian Privacy Principles.

9. Direct marketing

We may send you marketing communications about upcoming classes, masterclasses, and Academy news if you sign up for updates or provide your details for that purpose, or if you are an existing student or client and have not opted out. Every marketing email includes a clear way to unsubscribe, and you can also ask us directly at any time using the contact details in Section 15. We will not send you direct marketing after you opt out.

10. Cookies and website data

Our website may use cookies or similar technologies to support basic functionality and to understand general usage patterns (for example, which pages are visited). This information is generally not used to personally identify you. You can control or disable cookies through your browser settings; doing so may affect some website functionality.

11. Access and correction

You may request access to the personal information we hold about you, and ask us to correct it if it is inaccurate, out of date, incomplete, or misleading. To make a request, contact us using the details in Section 15. We will respond within a reasonable time. In some circumstances we may need to verify your identity before providing access, or may be entitled to refuse a request in line with the Privacy Act — if so, we will explain why.

12. Complaints

If you believe we have breached the Australian Privacy Principles or mishandled your personal information, please contact us first using the details in Section 15 so we can investigate. If you are not satisfied with our response, you may lodge a complaint with the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.

13. Children and minors

JJ Splice Screen Academy programs are only open to students aged 18 years and over, in accordance with our Terms & Conditions and Enrolment Agreement. We do not knowingly collect personal information from individuals under 18 in connection with program enrolment. If we become aware that we have inadvertently collected personal information from a person under 18 in this context, we will take reasonable steps to delete it.

14. Changes to this policy

We may update this policy from time to time to reflect changes in our practices or legal obligations. The current version will always be available on our website, with the "last updated" date shown at the top of this page.
